The Office Clipboard is a task pane inside Microsoft Office apps such as Word, Excel and PowerPoint that collects up to 24 copied items and pastes them into Office documents, including all at once with Paste All. Windows clipboard history, opened with Windows key + V, is a system feature that keeps up to 25 entries for pasting into any app, with pinning and optional sync, but clears unpinned items when you restart. If you need more than either offers, such as searchable history that survives reboots, IntelliClip from Automata Labs adds that to Windows.

What is the Office Clipboard?
Microsoft’s support article Copy and paste using the Office Clipboard says it “allows you to copy up to 24 items from Office documents or other programs and paste them into another Office document.” Its example is copying text from an email, data from a workbook and a graphic from a presentation, then pasting them all into one document.
To open it, go to the Home tab and select the Clipboard dialog box launcher, the small arrow in the corner of the Clipboard group. In Outlook, open a message and use the same launcher on the Message tab.
Key behavior from Microsoft’s article:
- 24 items maximum. “If you copy a twenty-fifth item, the first item on the Office Clipboard is deleted.”
- Newest on top, with an icon for the source program and a text snippet or thumbnail.
- Paste one or all. Double-click an item to paste it, or select Paste All.
- Delete a single item, or Clear All.
- Paste target is Office. “You can paste collected items into any Office program.”
The pane also has an Options menu with settings such as “Show Office Clipboard When CTRL+C Pressed Twice” and “Collect Without Showing Office Clipboard,” which keeps collecting items without opening the pane.
What is Windows clipboard history?
Windows clipboard history is built into Windows 10 and Windows 11. Microsoft’s page Using the clipboard explains that you turn it on the first time by pressing Windows key + V and selecting Turn on. After that, Windows key + V opens the history in whatever app you are using.
Its limits, per Microsoft:
- “Your clipboard history is limited to 25 copied entries.” Older unpinned items are removed to make room.
- “Clipboard history gets cleared each time you restart your PC, except for the items you’ve pinned.”
- “Your size limitations are 4 MB per item. Text, HTML, and Bitmap file formats are supported.”
- You can pin items, delete them one at a time, or clear everything except pinned items.
- You can sync across devices with a Microsoft account or work account, automatically or manually.

When should I use each one?
Use the Office Clipboard when you are assembling a document from pieces. Collect quotes, figures and images from several sources, then place them one by one or with Paste All. It is the only one of the three that pastes a whole batch in a single click.
Use Windows clipboard history for quick switching between a few recent items in any app, such as pasting an address into a form a few copies later. Pin the snippets you reuse every day, like your email signature or a standard reply, so they survive restarts.
Use a dedicated clipboard manager when the problem is finding something you copied earlier: yesterday, before a reboot, or more than 25 copies ago. Our explainer on the 25-item clipboard history limit covers why items vanish, and persistent clipboard history on Windows 11 covers keeping them.

Can I use them together?
Yes. They are separate features. Copying in Word with Ctrl+C sends the item to the regular Windows clipboard, so it can appear in Windows clipboard history, and the Office Clipboard collects it too when it is active. Using the Office Clipboard does not stop Windows key + V from working, and a third-party clipboard manager works alongside both.
The practical difference is where you paste and how long the items last. The Office Clipboard is tied to your Office work. Windows clipboard history is short-term and limited to 25 entries. A persistent, searchable history is for everything else.
How does IntelliClip go further?
IntelliClip turns the Windows clipboard into a searchable, local history. According to its Microsoft Store listing:
- Searchable clipboard history for text, links, notes and file paths, powered by a local SQLite FTS5 engine.
- Persistent storage that survives reboots and crashes.
- Images, plain text, flattened rich text and file paths are stored.
- Keyboard-first: press Alt+V, type to search, use the arrow keys to select and press Enter to paste.
- Contextual suggestions that rank your history based on the active window.
- Password-aware privacy that avoids saving sensitive password-manager content.
- 100% offline, with no cloud sync, no telemetry and no required account, on Windows 10 and Windows 11.
Because it keeps text as flattened rich text, it is not a replacement for the Office Clipboard’s Paste All when you need Office formatting kept exactly. It is the tool for finding and reusing what you copied across all your apps.
If Ctrl+C and Ctrl+V stop working entirely, that is a different problem; see copy and paste not working in Windows 11. And if you are weighing Microsoft’s own add-on, read PowerToys Advanced Paste vs IntelliClip.
Frequently asked questions
How many items does the Office Clipboard hold?
Up to 24. Copying a 25th item deletes the first one, according to Microsoft.
How do I open the Office Clipboard with the keyboard?
Microsoft’s article describes the Clipboard dialog box launcher on the Home tab. You can also turn on “Show Office Clipboard When CTRL+C Pressed Twice” in the pane’s Options.
Why does Windows clipboard history clear after a restart?
That is how the feature is designed. Microsoft says history is cleared each time you restart, except for pinned items.
Can the Office Clipboard paste into Notepad or a browser?
Microsoft’s article describes pasting collected items into Office programs. For other apps, use Windows key + V or a clipboard manager.
Does IntelliClip sync to the cloud?
