Exported iPhone Texts Show Phone Numbers Instead of Names? Why, and How to Fix It

Published October 24, 2026 Updated October 24, 2026 7 min read

When texts exported from an iPhone backup show phone numbers or email addresses instead of names, it is because the names come from the phone’s address book, and the backup either does not include a matching contact or does not include the address book at all. The messages themselves only record the number or address each message came from. BackupPaper shows contact names when the backup includes the address book; when it does not, its CSV export keeps every sender’s number or address in its own column, so you can label them yourself in Excel in a few minutes.

This guide explains the common causes and the quickest fix for each.

Why do messages show numbers rather than names?

On the iPhone, the Messages app stores each conversation with the handle of each participant: a phone number for SMS and many iMessages, or an email address for iMessages sent from an Apple Account. The name you see on the phone comes from Contacts.

An export from a backup works the same way. If the tool can find the address book in the backup and the handle matches a contact, you see a name. If not, you see the handle. BackupPaper shows contact names when the backup includes the address book; otherwise you see the number or email address.

What are the common causes?

Why would the backup not include contacts?

Apple’s support page on what a computer backup includes says a backup made on a computer leaves out data already synced and stored in iCloud, and gives examples such as iCloud Photos, iMessages, and SMS and MMS messages. Apple’s list of examples does not mention Contacts by name, so treat this as a likely cause rather than a certainty: if the iPhone synced its contacts with iCloud, the computer backup may not hold the address book.

The same rule explains a related surprise. If Messages in iCloud was on, the backup may hold few or no conversations. Our guide on whether an iPhone backup includes text messages covers that case.

What you can try:

  • Check another backup. An older backup, made before iCloud syncing was turned on, may include the address book. Our guide to the iPhone backup location on Windows shows where to look.
  • Use your own knowledge of the conversation. In most cases you know who the other person is. Labelling one or two numbers is quick.

How do you label numbers with names in Excel?

BackupPaper’s CSV export is UTF-8, with one row for each message and each reaction. It includes a sender column and a sender_handle column, so the number or address is always there even when no name was found.

  1. Export the conversation as CSV and open it in Excel.
  2. Make a small lookup table on a second sheet with two columns, Handle and Name. Enter each number or email exactly as it appears in sender_handle, and the name you want shown.
  3. Add a column next to sender, called Name, and use a lookup, for example =XLOOKUP(G2, Lookup!A:A, Lookup!B:B, G2), where G is the sender_handle column. The last argument keeps the handle if there is no match.
  4. Fill down, then sort or filter by the new column.

Messages sent from the phone are marked by the is_from_me column, so you can label those rows as the phone’s owner. For more on the CSV, see exporting iPhone texts to Excel.

What if the numbers are formatted differently?

A contact saved as (416) 555-0123 and a handle stored as +14165550123 are the same number in different forms. If a lookup does not match, compare the digits. In your lookup table, enter the handle exactly as it appears in the export, including the plus sign and country code. That avoids the problem entirely.

What about the PDF export?

The PDF has a header naming the device, participants, service and date range, with page numbers. If names were not found, participants appear by number or address. If you are sharing the PDF, you can add a short cover note that lists who each number belongs to. That keeps the export itself unchanged and makes the identification clear to the reader. See saving iPhone texts as a PDF for the PDF in detail.

Why does one person appear in two conversations?

If someone messaged you from their phone number at one time and from an email address at another, the iPhone can store two separate conversations. A backup export reflects that. Our guide on the same person in two conversations explains how to export both and put them together.

Does BackupPaper change the backup?

No. BackupPaper opens the backup folder read-only and never changes it. Every export is a new file that you name, and the app refuses to save inside the backup folder. It reads backups made by iTunes or Apple Devices, including encrypted backups, for which you need the password you set. It makes no network connections and has no account or iCloud sign-in, and the iPhone does not need to be connected.

Frequently asked questions

Can BackupPaper read contacts from iCloud?

No. It has no iCloud sign-in and reads only what is in the backup on your PC.

Will the same backup show names in another tool?

Only if the address book is in the backup. If it is not, no tool reading that backup can find names that are not there. A newer or older backup of the same phone may be worth checking.

Why do some messages show an email address?

iMessages can be sent from an email address registered to an Apple Account. The handle is then the email.

Can I edit names in the PDF?

The PDF is a record of what the backup holds. Label numbers in the CSV, or add a separate note to go with the PDF.
