Turn one combined scan into separate, named PDFs, on this PC.

ScanRoute Local is a Windows app from Automata Labs that splits a scanned stack at separator sheets, blank pages, or every N pages, names each file from one zone you draw, and files it in the folder you choose. Every proposed name shows in Preview before anything is written, your original scans are only read, and nothing uploads.

ScanRoute Local Preview screen

ScanRoute Local Preview listing eleven proposed PDF names in client folders, eight ready and three needing review, with a Commit 8 documents button.
One combined scan in, separate named PDFs out. Preview shows every proposed name and client folder before anything is written.

The problem

The copier saved one big PDF. You need twenty named files.

A stack of invoices, receipts, letters, and forms goes through the scanner in one pass and comes out as a single PDF named after a timestamp. Splitting it page by page in a PDF reader, typing each file name from the paper, and dragging every file into the right client folder takes longer than the scan did, and one wrong page range or a typo in a date is easy to miss.

With ScanRoute Local

Scan the stack once. Review the names. Commit.

ScanRoute splits the PDF where your separator sheets or blank pages are, reads the date, client, type, and number from one zone on each document, and lists every proposed name and folder. You fix what needs fixing, commit the documents that are ready, and get a CSV manifest of what was written. Everything happens on your PC.

Key benefits

Split, name, and check, before anything is filed

One scan in, separate PDFs out

Split combined PDFs at Code 128 or QR separator sheets, at blank pages, or every N pages. Separator pages are left out of the output, and a mixed stack of different document types is filed as one PDF per document.

Names from the page itself

Draw one zone over the reference line. A pattern pulls the type, date, client, and number, checks each one, and a template builds the file name and client folder.

An inbox for unsure documents

Reads that did not pass their checks wait with the zone crop beside them, along with missing separators, bad file names, duplicates, and unreadable PDFs. Type the fields, fix the name, accept, or skip.

Originals only read

Your scans are never changed, moved, or deleted, and no file is overwritten. Each commit writes a CSV manifest with the SHA-256 of every file written.

Searchable output

With a Windows OCR language installed, upright scanned pages without text get an invisible text layer, so you can search the PDFs you file.

How it works

Split, name, review, commit

Split

Drop a PDF, open several, or watch a folder. ScanRoute Local splits each file at a Code 128 or QR separator sheet, at a blank page, or every N pages.

Name

Draw one zone on the page. A pattern pulls fields such as date, client, type, and number out of it, and a template such as {Client}\{Date}_{Type}_{Id}.pdf builds each file name and folder.

Review

Preview shows every proposed name and folder first. Documents that need a decision wait in the inbox: a read that did not pass its checks, a missing separator, a bad file name, a duplicate, or an unreadable PDF.

Commit

Nothing is written until you commit. Your original PDFs are only read, never changed, moved, or deleted, and no file is overwritten. Each commit writes a CSV manifest with the SHA-256 of every file written.

OCR and barcodes can misread, so ScanRoute shows every name before it writes anything. Read how the text reading works.

Free printable separator sheets

Print a sheet, put one on top of each document, and scan the stack. ScanRoute Local starts a new PDF at each sheet and leaves the sheet out of the output.

Each file has an instruction page and six sheets. In Settings, set Split mode to Barcode and Separator prefix to SR-. Add {Barcode} to your file name template to put the sheet value in each name, for example SR-INV_2026-10-03_001.pdf.

Print at actual size, not fit to page, and scan a short test stack first.

What is on the sheets

  • SR-INV Invoice · Code 128 and QR
  • SR-RCT Receipt · Code 128 and QR
  • SR-CRD Credit · Code 128 and QR

One barcode per sheet. The prefix match is case-sensitive, so a barcode printed on a document page, such as a purchase order number, is not taken for a separator.

Privacy

Nothing uploads

ScanRoute Local runs on your PC. It has no account, collects no telemetry, and makes no network connection. Your documents, file names, and field values stay on this PC, and text is read with the Windows OCR engine on your PC.

If you choose a destination folder that a sync app such as OneDrive manages, that app may copy the files elsewhere under its own settings.

Good to know before you buy

  • It reads PDF files. Scan to PDF with your scanner or copier software first; ScanRoute does not control the scanner.
  • It reads one zone per document. A pattern can pull several fields from that zone.
  • Text is read with the Windows OCR language installed on your PC. Without one, splitting still works and you type the fields.
  • OCR and barcodes can misread, which is why every name shows in Preview and unsure documents wait in the inbox.
  • Sources, the watched folder, and the destination are folders on this PC in this version.
  • The invisible text layer covers upright scanned pages; rotated and some other pages are skipped and noted in the manifest.
  • Microsoft Store purchases are per user. There is no volume license.

This is not a document-management server and not a scanner app. The free trial is the easiest way to see how it handles your own scans.

Try it on last week’s scans first.

The Microsoft Store offers a free trial. Open a combined scan, draw the zone, and look at the names in Preview before you commit anything. If it fits your filing, buy it once. There is no subscription.

FAQ

Quick answers about ScanRoute Local

What is ScanRoute Local?

ScanRoute Local is a Windows app that turns one combined scan into separate, named PDFs on your PC. It splits at Code 128 or QR separator sheets, at blank pages, or every N pages, names each file from one zone you draw, and shows every proposed name before anything is written. Nothing uploads.

What files does it read?

PDFs from any scanner, copier, or app. Drop them on the window, open several at once, or point the optional watched folder at the folder your copier scans into.

Does it control my scanner?

No. Scan to PDF with your scanner or copier software as you do today, then open the PDF in ScanRoute Local. It is not a scanner app.

Which separator sheets does it read?

Code 128 and QR barcodes, one per sheet. Set a separator prefix such as SR- so a barcode printed on a document page is not taken for a separator. The free printable sheets on this page use SR-INV, SR-RCT, and SR-CRD.

How many fields can it read from a page?

It reads one zone per document. A pattern can pull several fields out of the text in that zone, such as date, client, type, and number, and a template turns them into the file name and folder.

How reliable is the text reading?

It uses the Windows OCR language installed on your PC. OCR and barcodes can misread, so every proposed name shows in Preview first, and reads that fail their checks wait in the inbox. If no OCR language is installed, splitting still works, the fields wait in the inbox for you to type, and a banner links to the Windows language settings.

Does anything leave my PC?

No. ScanRoute Local makes no network connection, has no account, and collects no telemetry. Nothing uploads. If you choose a destination folder that a sync app such as OneDrive manages, that app may copy the files elsewhere under its own settings.

Will it change my original scans?

No. Original PDFs are only read. They are never changed, moved, or deleted, and no file is overwritten. Each commit writes a CSV manifest with the SHA-256 of every file written.

Does the watched folder file things by itself?

No. The watched folder is off until you turn it on, and new PDFs in it wait on the Batch page until you plan them. Nothing is planned or committed by itself.

Can it read from or save to a shared drive?

Not in this version. Sources, the watched folder, and the destination are folders on this PC.

What does it cost, and is there a trial?

ScanRoute Local is a one-time purchase in the Microsoft Store, and the listing shows the current price in your currency. The Store offers a free trial, so you can run your own scans through it before you buy. There is no subscription.

Can my whole office use one purchase?

Microsoft Store purchases are per user: each person gets it with their own Microsoft account. There is no volume license.

What Windows version do I need?

Windows 10 version 2004 or later, or Windows 11, on an x64 PC.
