Guided workflow variation

A day of incoming mail. One PDF per letter, filed by matter.

Correspondence, notices, and filings never share a length, so fixed page counts cut them wrong. ScanRoute Local starts each item wherever a separator marks it and files it under its matter reference, read from a stamp or cover line you choose.

Separator sheets handle letters of any length, one zone supplies the matter number and date, and Preview shows every proposed file before anything lands in a matter folder.

If this sounds like your week

The mail scan is one file. The matter folders want many.

A small firm's assistant digitizes the morning's incoming correspondence, court orders, and returned engagement letters in one pass so the originals can go back to the cabinets. What comes out is a lengthy PDF with a meaningless title, sometimes forty pages deep. Every letter still belongs with its own matter under a consistent title, so a lawyer looking for yesterday's reply from opposing counsel can open it directly instead of paging through the entire morning.

Where tooling usually breaks

Fixed page counts were never going to fit correspondence.

Cutting that PDF after every third page assumes uniform items, and correspondence never cooperates: a one-page cover letter, a twelve-page settlement agreement, a four-page notice of motion. One enclosure anywhere shifts every later cut. Doing the division by eye costs an assistant most of an afternoon, and each typed title invites a transposed matter reference, which is how a letter lands under the wrong client. By the time anyone notices, the paper itself is already back in the cabinet.

Where ScanRoute Local lands

Mark each break once, while it is still paper.

Before feeding the stack, insert a divider ahead of each item: a printed barcode separator or simply an empty page. Length stops mattering, because ScanRoute closes an item at each divider, regardless of what came before. Put one zone over your matter reference, such as a received stamp or your own cover page, and the template turns it into a matter subfolder and a dated title. Nothing lands until you approve the list and commit, and the morning's original stays untouched.

What you get

Feature highlights

One scan in, separate PDFs out

split combined PDFs at Code 128 or QR separator sheets, at blank pages, or every N pages, so a whole stack is scanned once and filed as one PDF per document.

Names from the page itself

draw one zone over the reference line; a pattern pulls fields such as type, date, client and number, checks each one, and a template builds each file name and client folder.

Preview before anything is written

every proposed name and folder is listed first, and nothing is written until you commit, because OCR and barcodes can misread.

An inbox for unsure documents

reads that did not pass their checks (shown with the zone crop), missing separators, bad file names, duplicates and unreadable PDFs wait for you to type the fields, fix the name, accept or skip.

Originals only read, plus a manifest

your scans are never changed, moved or deleted, no file is overwritten, and each commit writes a CSV manifest with the SHA-256 of every file written.

Nothing uploads

text is read with the Windows OCR language on your PC, upright scanned pages get an invisible searchable text layer, and there is no account, no telemetry and no network connection.

Especially when

  • Split one combined scan of a mixed paper stack into separate PDFs on a Windows PC without sending client files to an online service
  • Name scanned PDFs from a date, client or document number on the page instead of renaming every file by hand
  • Check every proposed file name before anything is written, with unsure reads held for review
  • File copier scan-to-folder output into named PDFs in client folders, with a CSV record of what was written

Who benefits

Real-world scenarios

Morning mail at a two-lawyer office

The assistant scans about twenty pieces of incoming mail in one batch, with a blank sheet between items, and needs them in matter folders before the lawyers ask for them.

ScanRoute splits at each blank page, reads the matter number and received date from the zone, and lists every proposed file in Preview. Two pieces with no readable reference wait in the inbox for a typed matter number.

A long agreement between short letters

A thirty-page signed agreement arrives in the same batch as several one-page letters, which would wreck any split based on a fixed number of pages.

Because the split follows separator sheets, the agreement stays whole as one PDF and each letter becomes its own file. Preview shows the page count of every document, so a missed separator stands out before anything is committed.

A records clean-up project

An office is scanning closed matter files from a storage room and wants each file's contents named consistently instead of left as one long scan per box.

Separator sheets go between documents as the boxes are scanned, and a template with the matter reference builds each folder. The CSV manifest from each commit lists every file written with its SHA-256 hash, a plain record of what the project produced.

Deep dive

Why separator sheets beat page counts for variable-length mail

What a page count assumes. Splitting every N pages is the simplest rule there is, and it is the right one when every document has the same length, such as a stack of one-page receipts or two-page forms. ScanRoute offers it. Legal paper is rarely that uniform. One extra page anywhere in the stack, an enclosure or a fax cover, shifts every break after it, and every document from that point on is cut in the wrong place. Nothing in a page count can tell that the middle of the stack slipped.

What a separator marks. A separator says this is where a document starts, wherever it falls. ScanRoute splits at a page that carries a Code 128 or QR barcode starting with your separator prefix, at a blank page, or at either one in the Barcode or blank page mode. The document in between can be one page or forty. The separator page is dropped from the output unless you choose to keep it, and back-to-back separators count as a single break.

Barcode sheets or blank pages. Blank pages need no printing, which makes them the quick choice for a day of mail. Their weakness is the copier that scans both sides: the blank back of a one-sided letter looks like a separator too. Scan one-sided, or use barcode sheets, because a page only counts as a barcode separator when its barcode starts with your prefix. Set a prefix such as SR- so a barcode printed on a court form or a courier label inside a document is not taken for a break. The free printable separator sheets on the product page carry SR- values; print them at actual size and test a short stack first.

Getting the matter number into the name. The name comes from one zone read on the first content page of each document. Outside senders put their references in different places, so a zone over a letterhead will rarely find the same thing twice. Two approaches work. Place a received stamp or a printed label in the same corner of every first page, with a line such as RECEIVED 2026-09-22 M-24-0193, and draw the zone there. Or let reads that fail their checks wait in the inbox, where the assistant types the matter number while looking at the zone crop. Either way, a template such as {Matter}\{Date}_{Type}.pdf creates the matter folder and a dated name.

What ScanRoute will not do. It cannot start a new document wherever a word such as Re appears in the text. It reads one zone per document, not the whole letter. It works with PDF files in folders on this PC, not on shared drives, and it is not a document-management server. It also makes no claim about how your office must keep its records. It splits and names, shows every result in Preview, writes nothing until you commit, and leaves the original scan untouched.

How it is built

Built so nothing is filed until you say so.

Preview, then commit

Every proposed name and folder is listed before anything is written. OCR and barcodes can misread, so unsure documents wait in the inbox for your decision.

Originals only read

Your scans are never changed, moved, or deleted, no file is overwritten, and each commit writes a CSV manifest with the SHA-256 of every file written.

Nothing uploads

Text is read with the Windows OCR language on your PC. There is no account, no telemetry, and no network connection. One-time purchase in the Microsoft Store.

FAQ

Straight answers—no glossary dump

How do I split scanned legal documents of different lengths?

Put a separator in front of each document before you scan: a printed Code 128 or QR separator sheet, or a blank page. ScanRoute Local starts a new PDF at each separator, so a one-page letter and a forty-page agreement in the same stack each come out whole. Splitting every N pages is available too, but it only fits stacks where every document has the same number of pages.

Can it name files by matter number?

Yes, when the matter number is printed in a consistent spot on the first page of each document, such as a stamp or label your office adds. Draw one zone over that line. A pattern pulls the matter number and the other fields, checks each one, and a template builds the name and matter folder. OCR can misread a stamp or a smudged digit, so every proposed name shows in Preview before anything is written, and documents whose read fails a check wait in the inbox for you to type the value.

Can it read from or save to the firm's shared drive?

Not in this version. Sources, the watched folder, and the destination are folders on this PC, and ScanRoute is not a document-management server. You can commit to a folder on this PC and then move the finished files into your document system with your usual tools. ScanRoute itself makes no network connection and nothing uploads.

What does it need to run, and which OCR language does it use?

Windows 10 version 2004 or later, or Windows 11, on an x64 PC. Text is read with the Windows OCR language installed on the PC; if none is installed, add one in Windows language settings. Without one, splitting still works and the fields wait in the inbox for you to type. Input is PDF files in folders on this PC, from any scanner, copier, or app. ScanRoute does not control the scanner, so scan to PDF with your scanner or copier software first.

Will it change my original scans?

No. Original PDFs are only read. They are never changed, moved, or deleted, and no file is overwritten. ScanRoute writes each document as a new PDF in the destination folder you choose, and only when you commit after checking Preview. The destination cannot be a folder that holds one of the source PDFs, or the watched folder. Each commit also writes a CSV manifest in the destination folder listing every file written with its SHA-256 hash.

Does anything leave my PC, and how do I get ScanRoute Local?

Nothing uploads. ScanRoute Local makes no network connection, has no account, and collects no telemetry, so documents, file names, and field values stay on this PC. One caveat: if your destination is a folder that a sync app such as OneDrive manages, that app may copy the files elsewhere under its own settings. ScanRoute Local is a one-time purchase in the Microsoft Store, and you can start a free trial in the Microsoft Store before buying. Purchases are per user, with no volume license.
